Health & Safety Policy 

Statement of Intent

It is the intention of Minwood Lane to provide Drama sessions and performing arts representation meetings in a safe manner without risk to staff and/or children.

Minwood Lane will:

  • Issue a copy of our health and safety instructions to all employees, volunteers and display a copy at all premises used by Minwood Lane.
  • Ensure relevant signage and emergency instructions are displayed and maintained throughout our workspace.
  • Work with the the designated Health & Safety supervisor at our venues to ensure their policies are implemented in our sessions, this will ensure we will be adhering to the correct procedures.
  • Take out and maintain adequate insurance to cover all liabilities.
  • Maintain an accident book and first aid box.
  • Ensure regular inspection of electrical equipment, maintain a record of inspection dates and where appropriate arrange withdrawal/repair /replacement of the items assessed as unsuitable for use
  • Carry out risk assessments and on identification carry out appropriate action to minimise the risk. 
  • Establish emergency action plans.
  • Provide regular training for the in-house health and safety supervisor and first aider (where necessary).
  • Implement safe practices and procedures in connection with the handling and use hazardous substances (e.g - cleaning substances). 

ALL STAFF MUST OBSERVE THE FOLLOWING PRACTICES AND PROCEDURES AT ALL TIMES:

  • An adult must accompany all children to the project (area where the session will take place).
  • Fire doors must be kept clear and free from obstruction.
  • All electrical equipment must be switched off after use and all plugs must be removed from sockets before leaving the space/venue at the end of the session.
  • Faulty equipment should be reported immediately.
  • no smoking inside the building.
  • report any damaged flooring that may cause harm to staff and students (tripping etc).
  • Do not allow wires and leads to trail across the floor. if there is no alternative then it should be covered with a rubber protective strip.
  • Keep heaters clear.
  • Do not overload plug sockets.
  • Ensure that you are aware of the relevant Fire and Emergency and First Aid Procedures.
  • Report any disrepair to the fixtures and fittings and electrical equipment to the Health and Safety supervisor at the venue.

Responsibilities 

Overall and final responsibility for ensuring health and safety of the hired venue is vested in the management committee of the venue however the session responsibility for ensuring the this policy is put into practice is delegated to Kamilla Woodburn - Founder to inform the venue.

All staff and volunteers have an individual responsibility for ensuring their own personal health and safety and that of others that may be affected by acts. These responsibilities include:
  • Co-operating within the terms of this Health & Safety Policy, the venue Heath & Safety policies and procedures, and the Health and Safety supervisor.
  • Not interfering with any equipment to safeguard their health and safety.
  • Reporting situations and instances which reasonably present risk and recording all incidences in the accident book.

Risk Assessment Procedures

Risk Assessments will be carried out before each session begins at the venue. The venue should also disclose any potential risks to the the Minwood Lane representative. Once the risk assessments have been completed, preventative measures should be evaluated according to the risk assessed and the improvements needed if necessary.

All risk assessment will be stored in the health and safety file.

Disability

At Minwood Lane we make considerations for anyone who might be at risk due to a disability and will therefore work with the venue to ensure there is disabled access to the premises available and we are aware of the evacuation plan for those with disabilities in an emergency.

Evacuation Procedure

  • A record of all people on the premises is held by the venue at all times.
  • Minwood Lane keep a list of attendees at every session - this is in the form of a register and signing in-out sheet/app.
  • All staff will be made aware of the marked fire exits and evacuation meeting point - where a head count will be taken.
  • If necessary the emergency services will be contacted and notified of any missing persons.

First Aid

  • A first aid box is provided on site and maintained.
  • Emergency contact details for all staff and students are to be regularly checked and updated.
  • Staff are made aware of who the venue first aiders are, in addition to being first aid trained themselves.
  • Should an event occur whereby a qualified first aider is not available, staff are trained in what to do until a first aider arrives.

Reporting & Recording Accidents and Incidents

  • Minwood Lane  will ensure accident forms are available every session. 
  • Accident forms are then filed away securely in an accident book/folder in line with the Data Protection Act.
  • Records of incidents will be kept for three years.
  • Parents/Guardians will be notified immediately if their child is involved in a serious accident. 

Training

Employees, volunteers and service users are given all necessary information and instruction in order for them to be able to recognise hazards and to understand any risks. This includes:

  • Health & Safety information on induction
  • First Aid procedures
  • Actions to be taken in the event of an emergency
  • Minwood Lane Terms & Conditions, together with other policies and procedures.
Records of specific training undertaken will be maintained and stored securely. Adherence to the agreement, terms & conditions, policies and procedures will enable sessions to be carried out in the safest manner possible.

Minors

We understand the importance of protecting children’s privacy, especially in an online environment. The Site is not designed for or directed at children. Under no circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal Information from minors. If a parent or guardian becomes aware that his or her child has provided us with Personal Information without their consent, he or she should contact us at info@minwoodlane.com.

Updates or amendments to this Privacy Policy

We reserve the right to periodically amend or revise the Health & Safety Policy; material changes will be effective immediately upon the display of the revised Health & Safety policy. The last revision will be reflected in the "Last modified" section. Your continued use of the Platform, following the notification of such amendments on our website, constitutes your acknowledgment and consent of such amendments to the Health & Safety and your agreement to be bound by the terms of such amendments.
